PERSONAL & TEAM EXECUTIVE ASSISTANT

 

Job description

 

  • Provide comprehensive administrative support, manage calendars, scheduling appointments, and coordinating travel arrangements.
  • Ensure professional and confidential communication, fostering positive relationships with external and internal stakeholders.
  • Support planning and executing corporate events, board meetings, and other gatherings, coordinating logistics, invitations, and other event-related tasks (e.g. customer meetings and dinner, workshops, team events)
  • Assist in coordinating assigned special projects and initiatives
  • Provide general administrative support, including managing expenses, processing invoices, and handling other administrative tasks effectively as needed.
  • You also have the opportunity to expand your responsibilities based on your background and interests

 

 

Requirements

 

  • Proven experience as a personal executive assistant or similar role supporting C-level executives.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively in a fast-paced environment.
  • Strong written and verbal communication skills, with a focus on detail and accuracy.
  • Proficiency in office software applications, including Microsoft Office suite, calendar management tools, ERP system usage and tools for effective teamwork and communication, e.g. MS Teams, Miro Discretion and confidentiality in handling sensitive information.
  • Flexibility and adaptability to changing priorities and requirements.
  • Professional attitude and interpersonal skills, with the ability to interact confidently with individuals at all levels of the organization.
  • Ability to anticipate needs and proactively address issues before they arise.
  • Proactive and autonomous behavior also finding creative solutions in solving unforeseen challenges
  • Fluency in English and German is a must.
