Purpose of the role:

 

  • The Team Lead Procurement Services provides daily leadership, coordination, and administrative oversight for the Procurement Services team.
  • The role ensures efficient task allocation, workload management, process execution, and team performance in line with centrally defined procurement procedures. It focuses on coaching, developing, and supporting team members while fostering a collaborative, service oriented, and high performance team culture.
  • In addition, the role provides operational and administrative support to Category Management and Strategic Purchasing by maintaining key procurement systems (D365, Darwin, FUSE), coordinating supplier related documentation, ensuring data quality, and acting as a central point of communication for supplier platforms.
  • This role is purely operational and administrative, with no decision making authority on sourcing strategy, supplier selection, negotiations, or commercial outcomes.
  • All commercial and strategic decisions remain with the Swiss Strategic Sourcing organization.
  • The role has a clear functional reporting line to the Global Head of Strategic Sourcing & Supplier Development in Switzerland.

 

Responsabilities:

 

  • Provide daily leadership, guidance, and support to team members.
  • Conduct regular 1:1 meetings, performance reviews, and goal setting sessions.
  • Coach and develop employees to strengthen skills and support career growth.
  • Foster a positive, collaborative, and high performance team culture.
  • Plan, prioritize, and allocate daily and weekly tasks.
  • Manage team capacity, workload distribution, and absence planning.
  • Ensure achievement of KPIs, SLAs, and departmental objectives.
  • Continuously improve processes and workflows.
  • D365 System Maintenance: Maintain vendor master data, update purchase agreements, perform mass uploads.
  • Supplier Portal Management: Manage internal and external use of the supplier portal; provide first level support; deliver supplier trainings.
  • Data Preparation & Documentation: Prepare data for presentations, populate Supplier QBR templates, update supplier matrices and contract overviews.
  • Administrative Support for Standard Part Introduction.
  • Supplier Communication: Draft and distribute supplier questionnaires, assessments, and information updates; consolidate responses.
  • Darwin Platform Administrator: Ensure smooth system operation and user support.
  • FUSE Platform Management: Manage onboarding and training for suppliers.
  • D365 Power User: Provide troubleshooting and support for Category Management.
  • Operational Support: Prepare RFQ document packages and support operational activities for Category Management.

 

Experience Required:

 

  • 3+ years of experience in administrative procurement or supply chain support.
  • Hands on experience with ERP systems (preferably D365).
  • Experience managing supplier portals and providing first level support.
  • Strong experience preparing and analyzing data for supplier reviews.
  • Experience in global, complex organizations.
  • Familiarity with RFQs and contract management.
  • Experience with supplier onboarding and digital training platforms.
  • Strong Microsoft Office skills (Excel required; Power BI beneficial).
  • Strong ERP skills (preferably D365).
  • Excellent organizational and prioritization abilities.
  • High attention to detail and accuracy in data handling.
  • Effective communication and stakeholder management skills.
  • Ability to train and support suppliers on digital platforms.
  • Analytical mindset for preparing and interpreting data.
  • Proactive, solution oriented approach.
  • Ability to work independently and in global, cross functional teams.
  • Very good command of German and English.
  • Experience in machinery, vacuum technology, or semiconductors is a plus.
